
Preparing a suitcase correctly helps protect its contents and makes collection from the hotel easier. The process does not need to be complicated: a few organised checks and clear information for the property are usually enough.
1. Check everything inside the suitcase
Open the luggage and review its contents before closing it for the last time. Remove items that cannot be shipped or need specific approval, such as flammable substances, prohibited aerosols, dangerous materials, perishable food or restricted goods. If in doubt, read the terms of service or ask for assistance.
Documents, cash, keys, battery-powered devices and fragile objects should be assessed separately. Do not assume that an item is suitable for transport simply because it fits inside the suitcase.
2. Arrange and protect the contents
Distribute weight evenly and fill empty spaces so that objects cannot move freely. Place permitted liquids in tightly sealed bags and protect delicate items individually. Avoid overfilling the luggage: a suitcase that closes only under pressure is more vulnerable to damage.
3. Inspect zips, wheels and handles
Make sure the zips run smoothly, locks work and telescopic handles retract correctly. Tell the hotel and the service about any existing damage. Remove old flight labels and tags from previous journeys, as they may cause confusion during handling.
4. Prepare the delivery details
- the recipient’s full name;
- the complete address, house number and postcode;
- a reachable telephone number;
- any useful delivery directions;
- the reference used by the hotel to identify the suitcase.
Do not rely only on a note placed inside the luggage. Enter the information in the booking process, where it can be reviewed before payment.
5. Coordinate collection with the hotel
Tell reception that a collection will be arranged and confirm where the bag will be stored. It must be identifiable and available during the agreed period. If the hotel is not listed, provide its complete details so that collection can be coordinated.

Hard-shell or soft luggage: what changes
A hard shell offers protection from some external pressure, but it should close without distortion and have no cracks. Soft luggage can compress and often has outside pockets, which should be emptied and closed carefully. In either case, photograph the exterior before leaving the bag with the property. The image can provide a useful reference, although it does not replace reporting existing damage.
The check to complete with reception
Before leaving, ask a staff member to confirm the storage location and the reference attached to the suitcase. Avoid labels that expose personal details to everyone; a code or name linked to the request is sufficient. If collection will take place after departure, leave instructions that are clear enough for staff working a later shift.
